Frequently asked questions
How does Presenter licensing work?
Try every Presenter feature for 28 days without a card or watermark. Then choose Presenter Own for €299 once, Flex for €19/month or €190/year (two months free), or Team for €39/month or €399/year including Hub. Own keeps covered versions working permanently after one online activation. Flex and Team require an active subscription, with a licence refresh every 30 days and 14 days of offline grace. A licence check never interrupts an active presentation.
Do I have to keep paying for Presenter Own updates?
No. Own includes 12 months of new releases and permanent use of the versions covered by that update year. You can keep using a covered version without buying more updates. If you later want newer releases, another update year costs €299, or you can choose Flex or Team.
How many computers and phones can we use?
Each Own licence, Flex subscription or Team organisation subscription covers up to five active Presenter computers. Each purchase has its own computer allowance. Remote Controller, Viewer and Worship Assist on phones or tablets do not use a Presenter computer seat.
Does it work without internet?
Yes. Prepared local decks, PowerPoint files, PDFs, media, lyrics and saved or downloaded Bible passages work offline. Phone Remote also works over the same local Wi-Fi without internet. Download files and any AI models beforehand, and activate or refresh your licence before going offline. Hub, cloud Remote, streaming services, websites and other online content need internet.
Can I project lyrics and Bible passages in two languages?
Yes. Link a saved translation to a song or Bible passage, align the stanza or passage groups, then enable Show linked translation or Show linked passage on the cue. Presenter can show both languages together, and you can turn the second language on or off for each cue.
How does CCLI reporting work?
Presenter records song usage and Bible passages shown. In Settings, open Song usage & reports to review song counts for a date range and export the underlying logs for your records. Use those records when preparing your CCLI report; Presenter does not submit it for you. To import SongSelect lyrics, enable the Downloads watcher in Settings → CCLI SongSelect, then download the song’s lyrics .txt file in your browser.
What computer do I need?
Presenter runs on macOS (Apple Silicon and Intel), Windows (x64 and ARM64), and supported Linux distributions. Check the Download page for the operating-system and hardware requirements for your installer. Rendering profiles help adapt it to your computer; local AI, large PowerPoint files, video and multiple outputs need more resources. Try your own service and displays during the pilot.
Do my volunteers need accounts or passwords?
Phone Remote needs no account or app install: scan a QR code from Presenter. Hub volunteers can use a personal email link to view their schedule and accept or decline invitations without creating a password. Members can also sign in to the church’s Hub after accepting its invitation; planners and admins sign in to manage the workspace. Access depends on each person’s role and invitations.
Can a speaker control the presentation from a phone?
Yes. Load the slides in Presenter, start presenting and share the Simple Controller QR code. The speaker scans it and uses their browser to advance. Full Controller offers more controls, while Viewer provides read-only follow-along. Same Wi-Fi works without internet; Anywhere through ProWeave Cloud requires Team and an internet connection.
What does Worship Assist do for musicians?
Worship Assist connects phones and tablets to Presenter by QR code and opens a shared song playlist. Musicians can read prepared lyrics and chords, search the Presenter song library, and share key and tempo changes while choosing their own text size and layout. Song suggestions go to the Presenter operator for approval unless automatic acceptance is enabled there. It uses the songs and charts in your church’s Presenter library.
Can I use my existing PowerPoint slides?
Yes. Drag a .pptx file into Presenter and choose PowerPoint playback. Presenter plays the original file directly, including supported animations, click-by-click builds and embedded videos, without Microsoft PowerPoint installed. Native playback is part of Presenter and does not require Team. Test your fonts, effects and media on the presentation computer. Convert to PDF remains an optional compatibility backup for static slides; older .ppt files use conversion or can be saved as .pptx first.
Can I use Google Slides or share presentations through Hub?
You can export Google Slides as .pptx for native playback in Presenter, or as PDF for static slides. With Team, attach presentation files to a Hub service and bring them into Presenter. Hub retains uploaded PowerPoint originals and can create PDF previews for supported .pptx files. Its Import Google Slides as PDF option requires the source presentation to be shared as Anyone with the link.
Can I bring my songs from other presentation software?
Yes. Presenter imports song libraries from ProPresenter, EasyWorship, OpenLP/OpenLyrics, SongBeamer, ChordPro, CSV and plain text, with a preview so you can choose what to keep. Songs become plain-text files you own. The Bring your library page and migration guides explain the formats and preparation steps.
Does the AI send my audio to the cloud?
No. The AI Assistant processes microphone audio on the presentation computer. Download its speech models once, choose your microphone and language, and rehearse with your own content; recognition can then work offline. Enable it for the cues or sections where you want help. Manual navigation pauses AI, and you can turn it off at any time.
What does ProWeave Team cost, and who pays?
Team costs €39/month or €399/year per church. It includes Hub for unlimited users, volunteer planning, shared service preparation, Presenter Flex for up to five active computers, cloud Remote and 50 GB shared by Hub media and optional online Presenter backups. You do not need a separate Presenter subscription. New organisations can try Team for 28 days without a payment card.
How do I bring a Hub service into Presenter?
In Presenter, open Connections → Hub, choose the organisation and event, review the preview, then select Create & open auto-deck. Linked songs, the service order and notes become a new local deck; Team also downloads supported attachments. Review the result before presenting. Running the action again creates another deck, so later Hub changes do not automatically merge into your locally edited deck.
How long do Hub media files stay in the cloud?
Team includes 50 GB per church, shared by Hub media and Presenter backups. Service attachments expire 30 days after the service ends. Keep in Hub preserves up to 10 GB of recurring media within that allowance. Reusing the same Hub file across services does not duplicate its storage. Presenter can upload files to Hub and save Hub media offline. Backup retention is separate: two recent versions per computer.
What happens to my data if I stop using ProWeave?
Your songs, decks and media remain local files you can copy, move and back up without Team. Own keeps covered Presenter versions working; Flex and Team require an active subscription for normal Presenter access. Hub records can be exported, while cloud media remains subject to its retention rules. Save local copies of files you want to keep. Your own saved cloud backups remain recoverable after Team ends while you retain the required organisation access.
Can invited volunteers and guests edit a service?
Invitees have read-only access by default. They can read the plan, download its files and answer their own invitation; editing controls and other people’s response statuses stay private. An owner, admin or editor can enable Collaboration for each event. While enabled, everyone with an active invitation to that event, including guests, can edit its service order, team assignments and files. Guests remain limited to that event and its associated people and groups.
How does Hub support GDPR-aware working?
Hub provides event permissions, organisation invitation acceptance, email privacy settings, mandatory sender information and account-free unsubscribe links. Admins can export privacy records. Your organisation remains responsible for its lawful basis, informing people and processing agreements; software does not automatically make an organisation GDPR compliant.
Does unsubscribing delete my Hub data?
No. Unsubscribing stops invitations, reminders and other emails from that organisation. It does not delete your record or decline assignments. Requested login emails remain available. Contact your organisation for access or deletion requests.
Can I make a local backup without Team?
Yes, always. In Settings → Presentations & files, choose Backup to save a ZIP of your current collection on your computer or an external drive. Select the media and deck files, lyrics, settings and presentation logs you want to include. No Team subscription or internet connection is needed. Use Restore from backup to recover it, preferably into a new, empty folder. Linked external media and media in subfolders need a separate copy.
Can I back up Presenter online?
Yes. Team adds optional online backups alongside your local backups. An owner, admin or editor can open Settings → Online backup or the Hub account menu in Presenter. Choose collections you have opened or one deck with its linked media, select what to include, and review the size before a manual upload or enabling automatic backups. These private backups share the church’s 50 GB with Hub media and keep two recent versions per computer.
Can I recover a backup after Team ends?
Yes. Local ZIP backups remain yours to create and restore without Team or internet. For existing online backups, sign in with the same account and organisation; you can restore your own saved copies after Team ends while you retain the required organisation access. Online recovery creates a new folder, and applying the saved Presenter settings is a separate choice. Creating new online backups requires an active Team subscription.
Can I use my Canva presentations?
Yes, with a permitted Canva connection. Connect your personal Canva account through browser consent, then choose PDF for click-through slides or MP4 for animation and timing. Presenter saves an offline copy; Hub can attach an import to a Team service or item. Imported files remain after disconnecting Canva, and later design changes need an explicit re-import. Availability depends on Canva’s integration approval and account permissions.
